Getting started
- Make sure your vehicles are set up under Delivery Vehicles, with the rep or driver who uses each one.
- Open Plugins → Vehicles & Fuel and click a vehicle to enter its revenue licence, insurance and emission test expiry dates and when the next service is due (by date and/or km).
- Reps and drivers now see Fuel Log in their app menu.
Logging fuel from the phone
The rep or driver picks their vehicle, enters the meter reading, litres and amount, and can take a photo of the receipt. They can also log services, repairs and tyres. A meter reading lower than the last one is refused, so typing mistakes are caught.
In the office
Click Add entry to record fuel, services, repairs, tyres, insurance or licence payments for any vehicle.
The page shows, for the chosen dates:
- Fuel cost and litres, service and repair cost.
- Km driven from the meter readings, km per litre and cost per km for each vehicle.
- Every entry, with the receipt photo. CSV downloads the list.
Expenses
Tick Also add to Expenses and the entry is added to Expenses (category Fuel or Vehicle maintenance). Deleting the entry deletes the expense too. Under Settings you choose whether entries from reps and drivers go to Expenses automatically.
Reminders
Licences, insurance and emission tests expiring within 14 days (you can change this), services due by date, and services due within 500 km show at the top of the page. People who manage delivery vehicles also get an alert each morning.
If you set Service every (km), logging a service with a meter reading moves the next service forward automatically.
Who can use it
People with Manage Delivery Vehicles or Manage Expenses use the office page. Reps and drivers log entries for the vehicles assigned to them.
