Getting started
- Open Plugins → Online Ordering.
- Under Settings, choose who online orders are put under (for example your office sales person), and optionally a minimum and largest order amount, how many online orders a shop can have waiting, and a short message shops will see.
- Click Create link next to a shop — or Create links for all shops — then send it with the WhatsApp button or copy it.
What the shop sees
The link opens a simple, phone-friendly page with your name and logo:
- Order — products that are in stock with your selling price (and MRP when it is higher). Search, filter by category, tap + / − and review the order. The cart is kept on the phone until the order is sent.
- My orders & balance — the shop's balance, credit limit, recent orders with their status (waiting for confirmation, confirmed, cancelled), what is still to pay, and invoice PDFs for confirmed orders.
How orders arrive
Each online order becomes a normal pending order under the person you chose, dated today, with the shop's note. Promotions apply automatically when that plugin is installed. Stock is taken from the store (not from a rep's van). Approve, edit or cancel it like any other order — the shop sees the change on its page.
The Latest online orders list on the plugin page shows every order placed online.
Safety
- Each link is a long secret code. If a link is shared by mistake, click New link — the old one stops working at once. Switch off blocks a shop from ordering online. Both are recorded in the audit log.
- A shop can only have a few online orders waiting for approval (3 unless you change it), so nobody can hold back your stock with a flood of orders. Set a largest online order to have big orders phoned in.
- With Stop orders that go over the shop's credit limit ticked, a shop cannot order past its credit limit — orders still waiting for approval count towards it.
- Shops never see your stock figures, only whether a product can be ordered.
- Invoice PDF links on the shop's page stop working after a day, so forwarded links do not last.
- Shops on hold (inactive) cannot order.
- The page is hidden from search engines and limited to a few orders per minute.
