Getting started
- Open Plugins → Accounting Export and click Chart of accounts.
- Enter the code and name of each account exactly as they appear in your accounting software — sales, money owed by shops, cash, bank, discounts, returns, purchases, money owed to suppliers and expenses. You can give each expense category its own account.
- Choose the date format your software expects.
Exporting
Choose the dates (last month is filled in), the file format and what to include, then click Preview. The page shows the totals for each part, whether debits equal credits, and the first entries of the journal. Click Download CSV to save the file.
What is exported
| Item | Debit | Credit |
|---|---|---|
| Approved sales invoice | Money owed by shops (and Discounts) | Sales |
| Payment received | Cash (cash payments) or Bank (cheques, transfers) | Money owed by shops |
| Approved customer return | Sales Returns | Money owed by shops |
| Approved purchase | Purchases | Money owed to suppliers |
| Expense | The expense account | Cash |
Pending and cancelled orders are not exported. Payments are exported for approved orders only, matching the shop balances in the system. Bounced cheques are left out because their amount is removed.
File formats
- General journal — date, reference, account code and name, debit, credit, description and shop or supplier. Works with most accounting software and spreadsheets.
- QuickBooks Online journal entries — matches the QuickBooks journal import, using your account names.
- Xero sales invoices — every approved invoice line by line for Business → Invoices → Import in Xero, with the due date and tax type you choose.
Every download is recorded in the audit log.
